DockLinx ("we," "us," or "our") operates the DockLinx platform — an AI-powered marketplace connecting shippers with third-party logistics (3PL) warehouse providers. Our platform is accessible at docklinx.com.

2. Information We Collect
2.1 Information You Provide
- Account data: name, email address, phone number, company name, and role (shipper or provider) when you register.
- Listing data: warehouse address, capacity, services, certifications, and photos you upload when claiming or editing a listing.
- RFQ data: logistics requirements, volume, budget, and move-in dates submitted through Request for Quote forms.
- Bid data: pricing, notes, and terms submitted by 3PL providers in response to RFQs.
- Payment data: billing information processed by Stripe. We do not store credit card numbers on our servers.
- Communications: messages sent through our in-platform messaging system and contact form submissions.
- Reviews: ratings and written feedback you submit about warehouses or shippers.
2.2 Information We Collect Automatically
- Usage data: pages visited, search queries, listing views, and click events via Google Analytics 4.
- Device data: IP address, browser type, operating system, and referral URL.
- Cookies: session cookies for authentication, preference cookies, and analytics cookies. See Section 7 for details.
2.3 Information from Third Parties
- Google Places API: business name, address, phone, hours, photos, and ratings for warehouse listings discovered through Google.
- Stripe: payment status, subscription state, and billing history.
3. How We Use Your Information
- Provide the platform: display listings, match RFQs to warehouses, facilitate bids and messages, and process payments.
- AI features: parse RFQ descriptions, rank bids, generate listing descriptions, and power the chatbot using OpenAI GPT-4o. AI interactions are logged for quality and audit purposes.
- Communications: send transactional emails (RFQ matches, bid notifications, billing), onboarding checklists, and renewal reminders. We may also send outreach emails to unclaimed warehouse businesses — recipients can unsubscribe at any time.
- Analytics: understand how users interact with the platform to improve features and performance.
- Fraud detection: automated analysis to detect suspicious activity and protect the platform.
- Legal compliance: comply with applicable laws and enforce our Terms of Use.
4. How We Share Your Information
We do not sell your personal information. We share data only as follows:
- Between marketplace parties: when a shipper submits an RFQ, matched 3PL providers receive the shipper's logistics requirements (not personal contact details) to prepare bids. Contact details are shared only when both parties engage in messaging.
- Service providers: Stripe (payments), Mailgun (email delivery), AWS S3 (file storage), OpenAI (AI features), Google (Maps, Places, Analytics), and Sentry (error monitoring). Each operates under their own privacy policies.
- Legal requirements: if required by law, court order, or to protect the safety of users or the public.
- Business transfers: in connection with a merger, acquisition, or sale of assets, with appropriate confidentiality protections.
5. Data Retention
- Account data: retained while your account is active and for 2 years after deletion for legal and audit purposes.
- AI logs: retained for 12 months for audit, cost tracking, and quality improvement.
- Payment records: retained for 7 years for tax and financial compliance.
- Chatbot conversations: retained for 6 months for support and quality purposes.
- You may request deletion of your account and personal data by emailing privacy@docklinx.com. Some data may be retained where required by law.
6. Your Rights
Depending on your location, you may have the following rights:
- Access: request a copy of the personal data we hold about you.
- Correction: update inaccurate information via your account settings or by contacting us.
- Deletion: request deletion of your personal data, subject to legal retention requirements.
- Opt-out of marketing: unsubscribe from outreach emails using the link in any email we send.
- Data portability: request an export of your data in a machine-readable format.

7. Cookies
We use the following cookies:
- Strictly necessary: session cookies for authentication and CSRF protection. Cannot be disabled.
- Analytics: Google Analytics 4 cookies to measure traffic and usage. You can opt out via your browser or Google's opt-out tools.
- Advertising: Google AdSense cookies on public pages to serve relevant ads. Manage via your Google ad settings.
8. Security
We use industry-standard security practices including HTTPS encryption, hashed passwords (bcrypt), and Stripe for PCI-compliant payment processing. We monitor for security incidents via Sentry. No system is 100% secure — if you discover a vulnerability, please contact security@docklinx.com.
9. Children
DockLinx is a B2B platform intended for businesses and adults. We do not knowingly collect personal information from anyone under 18.
10. Changes to This Policy
We may update this policy periodically. Material changes will be communicated via email to registered users. Continued use of the platform after changes constitutes acceptance of the updated policy.
